How a China Factory Inspection Works, Step by Step

Knowing that inspection matters is one thing. Knowing what actually happens on inspection day is another. Here is what a factory inspection in China looks like, step by step.

Step 1: Deciding when to inspect

There are three common inspection points:

  • Pre-production, checking raw materials and components before manufacturing starts
  • During production, usually when around 20 to 60 percent of the order is complete
  • Pre-shipment, after production is finished and goods are packed, before the balance payment is made

Most importers rely on a pre-shipment inspection as the minimum, since it is the last chance to catch problems before goods leave the factory.

Step 2: Setting the checklist

Before the inspection, we agree on what "acceptable" looks like for your product: quantity, specifications, color, function tests, and packaging requirements. This checklist is based on your purchase order and any samples you approved earlier.

Step 3: The inspection itself

On the day, an inspector visits the factory and works through the checklist:

  • Counts the finished goods against the order quantity
  • Selects a random sample using standard sampling levels (such as AQL)
  • Checks dimensions, materials, and workmanship against specification
  • Tests function, where relevant, such as switching on electronics or checking seams and stitching
  • Reviews export packaging and labeling, including how it will hold up in transit

Step 4: The report

Within a day or two, you receive a report with photos, measurements, and a pass or fail recommendation against your checklist. If something fails, you see exactly what and why, with photo evidence.

Step 5: What happens next

If the inspection passes, the order proceeds to shipment. If it fails, you are still in a strong position: the factory has not been paid in full and the goods have not shipped, so most factories will rework or fix the issue rather than lose the order.
